Order Management Hub: from Excel to one system for orders, suppliers and the warehouse

A PrestaShop e-shop with 70–100 orders a day, dozens of suppliers, 7 sales reps who each manage their own suppliers, and sales through Skroutz as well.

Every order was copied into Excel. Sales reps emailed each supplier by hand, picking lists were written on paper and order statuses were changed in the e-shop one by one.

As volume grew, so did the errors: supplier orders that missed the cutoff, products nobody knew which supplier they belonged to, and customers left waiting without updates.

We built a central system that does not replace any of the business's tools; it connects them.

Orders in real time

Every new order arrives automatically from PrestaShop, with all its lines. Each line is matched to its supplier. Anything without a supplier is shown separately for matching, so nothing gets lost.

Suppliers without manual emails

The system groups lines by supplier and builds the order email from a ready template. Every supplier has its own cutoff time, and the dashboard shows who is on time, who is closing soon and who has passed.

Warehouse, picking and checks

Anything in stock goes straight to picking; anything missing goes to "To order". The warehouse logs deliveries, the picker ticks off each item, and the order is checked before it ships. The status updates in the e-shop automatically.

Automatic customer updates on every status change and performance reports per supplier.
